Position Summary:
To provide administrative and clinical management to medical office practice(s) with accountability for daily operations in collaboration with physicians, team members and all internal and external customers including patients/families to assure optimal patient care and outcomes. Plans for, coordinates and manages team members and stewards resources, in order to provide the highest quality patient care in a safe, cost effective, customer focused environment.

Qualifications:
EDUCATIONAL REQUIREMENTS
Bachelor's Degree in Nursing

CERTIFICATION & LICENSURE REQUIREMENTS
Registered Professional Nurse (RN) License Illinois upon hire.

EXPERIENCE REQUIREMENTS
Three (3) years managerial experience.

SKILLS AND KNOWLEDGE
Excellent communication skills, both verbal and written. Considerable knowledge of principles and practices of medical practice management, including understanding of financial functions. Ability to prioritize and simultaneously manage several projects/issues. Ability to serve as a team player and team leader and effectively supervise professional and non-professional staff. Proficient computer skills. Knowledgeable regarding requirements of all payment plans in which the practice participates, including but not limited to Managed Care Plans, Medicare, HMOs, PPOs, Public Aid and the Carle Hospital Provider network.

Essential Functions:

  • Communicates and discusses patient satisfaction goals and objectives with team members and providers. Implements patient satisfaction improvement plans and holds self and staff accountable to performance and patient service standards. Achieves patient satisfaction scores consistent with Carle Physician Group and practice site goals.
  • Evaluates and monitors health outcome indicators and carries out ongoing process improvements using established best practices and clinical initiative tools. Develops and implements process changes to meet/exceed organizational goals related to health outcome indicators.
  • Maintains established standards of care, policies and procedures and HIPPA compliance. Partners with director and physician leadership to ensure accuracy and timely documentation of all patient care services. Monitors compliance within all Carle wide systems, and all regulatory standards to ensure standards are met and followed.
  • Ensures availability of all equipment, supplies and other tools necessary for patient care. Establishes systems and processes for just-in-time inventory levels and controls the cost of supplies. Works with applicable departments to ensure purchases, including capital purchases, are correctly processed.
  • Collaborates with Quality Improvement, Risk Management, and coding and compliance departments to facilitate education for all physicians and team members.
  • Participates in the planning and administration of annual budget specific to assigned department(s), and monitors budget monthly by thorough completion of variance report, and corrective action plans.
  • Monitors billings reports and ensures that assigned team members are collecting co-pays, outstanding balances and self-pay fees at the time of service.
  • Oversees daily practice site operations to assure economically efficient processes, maximum patient and physician satisfaction, and safety. Reviews available reports and new/existing policies and procedures with director and physician leadership to develop practice improvements. Consults director and physician leadership as needed on the development and implementation of actions to maximize physician productivity.
  • Assists with orienting new physicians to staff and environment. Implements schedules for new physicians.
  • Conducts regular staff meetings. Coordinates and documents orientation, training and required competencies to ensure that team members are proficient in job requirements. Handles routine human resources processes, such as job posting, interviewing, hiring, status changes, payroll and payroll corrections, leaves of absences, etc. Evaluates and conducts performance reviews for staff.
  • Assists in implementing and monitoring medical practice management contracts, letters of agreement, joint venture services and other agreements. Makes recommendations and establishes plans for approved activities to increase and generate referrals/new patients.
  • Helps plan for, organize, and lead the delivery of nursing care for the designated patient care area.
  • Has accountability and supervision of all registered nurses and other healthcare providers who deliver nursing care.
  • Responsible for recruitment and retention, performance review and professional development.
